As organizations grow in complexity—whether through multiple departments, regions, brands, or subsidiaries—the need for segmented data management becomes essential. The Sub-Organization feature in the MirrorWeb Insight platform addresses this challenge by allowing organizations to divide their archiving environment into structured, isolated units, all within a single master account.
🔍 Use Case
1. Scalability Across Departments or Clients
Whether you're an enterprise with multiple business units or a service provider managing archiving for multiple clients, Sub-Organizations offer a scalable structure. Each group gets its own environment, tailored to its specific archiving needs.
2. Independent Data Capture & Tagging
Sub-orgs can operate independently, with custom capture schedules, crawl rules, tagging taxonomies, and workflows. This helps teams stay organized without interfering with other parts of the business.
3. Granular Access Control
Users can be assigned to one or more sub-orgs with role-based permissions. This means you can:

Give marketing access to just their own data

Allow legal/compliance teams access across multiple sub-orgs

Prevent cross-access between unrelated departments or clients
4. Central Oversight with Delegated Management
Parent org admins maintain visibility and control across all sub-orgs, allowing for centralized reporting and compliance checks. Meanwhile, each sub-org can have its own local admins who manage day-to-day operations.
🛠️ Step-by-Step Instructions

Create a Sub-Org: Navigate to the Management > Sub-Organizations section, click “New Sub Organization.
- Fill in Organization Name.
- Choose Industry Type
- Choose Organization Type.
- Choose Resources

Once the sub organization is create, assign Users and Access: Click on the "Edit Sub Organization" but to the right of the Sub Organization Name.
- You can Invite Users to the Sub Organization clicking on the Users tab and then "Invite a user".
- You can grant or revoke access to entire platforms or individual modules by click on the Access tab. Note that you may only control access for modules if the platform is also enabled.
