MirrorWeb Insight offers a search exclusions functionality, allowing you to restrict access to content from certain senders ("privileged addresses"), or exclude known spam or newsletter senders from message flagging ("marketing addresses").
By the end of this guide, you will have learned how to apply privileged and marketing addresses from both the Exclusions module and from within the search interface.
In order to complete the steps indicated within this guide, you will need to ensure that you are a Communications Admin within the MirrorWeb Insight platform. Configured privileged and marketing addresses will only take place for new messages within the surveillance platform, and will not apply retrospectively.
Controlling search exclusions from the Exclusions module
In order to add or remove search exclusions from within Insight's exclusions module, carry out the following steps:
- Inside the Communications app, click "Exclusions", and then select "Search" from the accordion that appears. The Exclusions module will load.
- Using the tabs at the top, select Privileged addresses for sensitive content that you want to restrict to a small group of users, or Marketing addresses for spam and newsletter content that you wish to exclude from being flagged for review by lexicon policy.
- Click the pink + Add button on the right hand side of the window. A modal will appear.
- In the text box next to Address name, give the new privileged or marketing address a name. This is a friendly identifier for the configuration, and will be used later across the UI.
- In the text box next to Address, enter the email address or relevant account field that you wish to mark as privileged or marketing content. For example, the domain "newsletter@ft.com" or “joe@company.com” may be a marketing address that you wish to exclude.
- Under scoped platforms, please select the relevant platforms you wish to exclude. N.B. Please be aware you need to ensure you are using the correct account information - e.g. a Phone number for WhatsApp.
- When setting up exclusions to mark messages as privileged or marketing, you can choose how strictly the system matches email addresses using Match Type. There are three options:
- Exact Match - The message is marked only if the email address is an exact match to the one you’ve specified. For example, if you enter jane.doe@example.com and the message is sent from jane.doe@example.com, it will match.
- Domain Match - The message is marked if the sender or recipient's domain matches, regardless of the specific address. For example, if you enter @example.com, then any email from john@example.com, support@example.com, or jane.doe@example.com will match.
- Partial Match - The message is marked if the address you specified is present in part of the sender/recipient, even if it’s only part of the address. For example, If you enter doe, it will match addresses like jane.doe@example.com, doe123@other.com, or john.doe.marketing@xyz.com
- Click Add. The privileged or marketing address will be saved.
- If you wish to stop the privileged or marketing address from taking effect within your communications archive, click the red delete icon next to the address in question.
Controlling search exclusions from a Communications Search
In order to add or remove search exclusions from within an Insight Communications Search, carry out the following steps:
- Select a message from the sender that you'd like to mark as privileged or marketing content. The message will appear on the right hand side.
- Click the three dots next to the approval actions on the right hand side of the screen. From the dropdown menu that appears, select "+ Add privileged address" or "+ Add marketing address". A modal will appear.
- In the text box next to Address name, give the new privileged or marketing address a name. This is a friendly identifier for the configuration, and will be used later across the UI.
- The text box next to Address will be pre-populated with the sender address from the message you selected in Step 1.
- The text box next to Scoped Platforms will be pre-populated with the platform from the message you selected in Step 1.
- The text box next to Match Type will be pre-populated with exact. However, you can change this to Partial or Domain. See above for more details on match type.
- Click Add. The privileged or marketing address will be saved.
- If you wish to stop the privileged or marketing address from taking effect within your communications archive, follow the steps under "Controlling search exclusions from the Exclusions module" to view a list of active privileged and marketing address configurations.
